# Let athletes book lessons with you

Add your lesson booking link so athletes can book their next lesson from their workspace, and connect Calendly, Acuity or PGA Coach to see your bookings in Onform's Calendar.

Works on: iPhone, iPad, Android and web.

Onform doesn't take bookings or payments itself. Instead, it works with the scheduling service you already use, in two ways:

* **Your lesson booking link.** Add the web address of your booking page, and your athletes get a **Book Lesson** button in their workspace with you.
* **Calendar.** If you coach in an organization, connect Calendly, Acuity or PGA Coach to see your upcoming lessons in Onform, matched to each athlete's workspace.

You can use either one, or both.

## Add your lesson booking link

### Before you start

* **You need a booking page** from your scheduling service or website, for example a Calendly, Acuity or Square page. Copy its full web address. It must be a secure address that starts with **https\://**.
* **Coaches and staff can add a link.** Athletes and parents can't.
* **You can have a different link for each place you coach**: one for your personal account and one for each organization you coach in.

### Steps

1. On the Home screen, tap your profile icon.
2. Tap **Edit Your Profile & Lesson Booking Links**.
3. Tap **Lesson Booking Links**.
4. Paste your booking page's address next to **Personal Account**, or next to **Booking link for** your organization.
5. Tap **Save**.

**Shortcut in an organization:** open the account switcher at the bottom of the Home screen and tap **Lesson Booking Link**.

1. On the Home screen, tap your profile icon.
2. Tap **Booking Links**.
3. Paste your booking page's address under **Personal Booking Link**, or under **Booking Link for** your organization.
4. Tap **Save**. You'll see "Booking link saved".

**Shortcut in an organization:** open the account switcher at the top of the Home screen and tap **Lesson Booking Link**.

To remove a link, clear the address and tap **Save**.

**Connected Calendly or Acuity?** If you've connected one of them to your organization's Calendar (see below), Onform fills in that organization's booking link for you and you can't edit it. You'll see "This link is provided automatically by your connected Calendly account" (or Acuity). Disconnect the calendar if you want to use a different link.

## Where your athletes see it

Your athletes see a **Book Lesson** button in their workspace with you.

* **iPhone and iPad:** **Book Lesson** is in the workspace menu, alongside the chat and Library. It opens your booking page inside Onform.
* **Android:** **Book Lesson** is in the workspace. It opens your booking page inside Onform.
* **Web:** **Book Lesson** opens your booking page in a new browser tab.

Which link they see depends on the workspace:

* In a workspace that belongs to an **organization**, athletes see the link you set for that organization.
* In a workspace in your **personal account**, athletes see your personal link.

If you haven't set a link for that place, there's no **Book Lesson** button. You see the button in your own workspaces too, so you can check it opens the right page.

## See your bookings in Calendar

Calendar shows the lessons booked through your scheduling service, day by day, and links each booking to the athlete's workspace.

### Before you start

* **Calendar is for organizations.** Switch to your organization in the account switcher first. In a personal account you'll see "The Calendar feature is only available for organizational accounts."
* **You need to be a coach, staff member or admin** in the organization. Athletes and parents don't see Calendar.
* **Your plan needs to include Calendar Integration.** If it doesn't, you'll see an **Upgrade** button. On Android and web, if your admin hasn't given you access, you'll see **Request Access** instead. See [onform.com/pricing](https://onform.com/pricing/).
* **You can connect Calendly, Acuity or PGA Coach.**
* **Your calendars connect to one organization at a time.** To use them with a different organization, disconnect them from the first one.

### Connect your scheduling service

1. Switch to your organization in the account switcher.
2. On the Home screen, tap **Calendar**.
3. Tap the settings icon at the top right, then **Manage Integrations**.
4. Tap **Connect** next to **Calendly**, **Acuity** or **PGA Coach**.
5. For Calendly or Acuity, a browser page opens. Sign in to your scheduling account and allow Onform to connect, then come back to Onform.
6. When it shows **Connected**, tap **Done**.

1. Switch to your organization in the account switcher.
2. On the Home screen, tap **Calendar**.
3. If nothing is connected yet, you'll see the apps you can connect. Otherwise, tap the settings icon at the top right.
4. Tap **Connect** next to **Calendly**, **Acuity** or **PGA Coach**.
5. For Calendly or Acuity, sign in to your scheduling account in the browser window that opens, and allow Onform to connect.
6. When you see "Integration successful! Your calendar has been connected.", you're done.

**PGA Coach:** before you can connect, link your PGA Coach account to Onform. On your phone, open the PGA Coach app, select any student, tap **Record**, then choose **Open in Onform**. Then go back to Calendar in Onform and tap **Connect** again.

### Use Calendar

1. Tap **Calendar** on the Home screen.
2. Tap a day to see its lessons. Each one shows the time, the length and which service it came from. Use **Today** to jump back to today.
3. Under each lesson you'll see who booked it:
   * **If Onform recognizes them**, you see their workspace. Tap it to open the workspace and get ready for the lesson.
   * **If not**, you see their name and email. Tap the more button next to them (**…** on iPhone and iPad, **⋮** on Android and web) to assign them to an existing athlete's workspace, or to create a new one.

Onform recognizes someone automatically when they booked with the same email they use to sign in to Onform, and they're an athlete in your organization with a 1:1 workspace with you. Otherwise, assign them once yourself. You can reassign or unassign them later from the same menu.

### Disconnect or fix a connection

* **To disconnect**, open the settings icon in Calendar (on iPhone and iPad, then **Manage Integrations**) and tap **Disconnect** next to the service. Its lessons no longer show in Onform's Calendar. Your bookings in the scheduling service itself aren't affected.
* **If you see "There is an issue with receiving live updates"**, tap **Resolve**, then **Resync** next to the service. If that doesn't help, disconnect and connect it again.

## If something goes wrong

| What you see                                              | What to do                                                                                                                                                                                             |

| "Please enter a valid booking website"                    | Paste the full address of your booking page, starting with **https\://**.                                                                                                                              |
| Your athletes don't see **Book Lesson**                   | Check you set a link for the right place: your organization's link for organization workspaces, your personal link for personal ones. Ask your athlete to update Onform and fully close and reopen it. |
| **Book Lesson** opens the wrong page                      | Update the link (see above). If a calendar is connected to that organization, its link is used automatically.                                                                                          |
| You can't find **Calendar** on the Home screen            | Switch to your organization in the account switcher. Calendar is only for coaches, staff and admins in an organization.                                                                                |
| "Your current plan does not include Calendar Integration" | Tap **Upgrade**, or ask your organization's admin about your plan.                                                                                                                                     |
| "Calendar is connected to" another organization           | Your calendars are connected to a different organization. Disconnect them there first.                                                                                                                 |
| A booking shows a name and email instead of a workspace   | The athlete booked with a different email from the one they sign in to Onform with, or doesn't have a workspace with you yet. Assign them from the more button next to their name.                     |
| The **Book Lesson** page itself doesn't work              | Booking pages are run by your scheduling service, not Onform. Check the page in a browser, or contact your scheduling service.                                                                         |
