# Workspaces: one-on-one and teams

What a workspace is, one-on-one or team, how to create each, and how to edit, hand over, leave or delete a workspace.

Works on: iPhone, iPad, Android and web. Making someone an admin, background photos and moving a workspace to an organization are on iPhone and iPad only.

A workspace is where you coach someone in Onform. It has a **Library** for videos and Voice-over lessons, and chat. Everyone in it (athletes, parents, other coaches) works from the same place, and the workspace stays put as people come and go, so your videos and messages stay together.

## One-on-one or team

There are two kinds of workspace:

* **One-on-one** (**For 1:1 Coaching**): one athlete, named after them. Use it for private lessons, such as a golf student, a pitcher or a tennis player. You can still add their parents and other coaches, like a strength coach or a physio.
* **Team** (**For Teams**): a roster of athletes with a team name, such as "U14 Girls" or "Varsity Track". Everyone on the team sees who's on the roster. You can make groups inside it, such as pitchers or sprinters, to message a few people at once.

Either way, a chat message to one person stays between the two of you. Who sees each video depends on the Library setting, below.

## Create a one-on-one workspace

1. On the Home screen, tap **+**.
2. Under **For 1:1 Coaching**, tap **Add Athlete Manually** (the word matches your sport, for example **Add Golfer Manually**).
3. Enter the athlete's first and last name, and check their role.
4. Tap **Send Invite** to send them a code now, or **Add Without Sending Invite** to invite them later.
5. On **Select Options**, check the **Library** setting, then tap **Done**.

1. On the Home screen, tap **+**.
2. Tap **Add New Athlete For 1:1 Coaching** (the word matches your sport).
3. Enter the athlete's details, check their **Role**, and choose **Files Are Default Private** or **Files Are Default Shared**.
4. Tap **Send Invite**, or **Add Without Sending Invite** to invite them later.

## Create a team

1. On the Home screen, tap **+**.
2. Under **For Teams**, tap **Add New Team**.
3. Enter the team name and choose the sport. Tap the photo circle to add a team picture if you like.
4. Check the **Library** setting: **Files Are Default Private** or **Files Are Default Shared**. Tap **Edit** to switch.
5. Tap **Add**.
6. In the team, tap **+** next to **Members** to add athletes, parents and coaches.

3. Enter the team name, choose the sport and add a team picture if you like.

## Default private or default shared

Each workspace's Library is either:

* **Default private**: a new video is seen only by whoever added it, until they share it. Best for most coaching.
* **Default shared**: everyone in the workspace sees every video straight away.

You choose when you create the workspace and can change it later. Switching changes the videos already there too, so read [Default private or default shared Libraries](/coaching/teach-and-share/library-visibility-and-sharing-options-default-private-or-default-shared.md) first.

## Change a workspace

You need to be an admin of the workspace. The coach who created it is an admin.

Open the workspace and tap the three dots next to its name. You can also touch and hold the workspace on Home.

* **One-on-one:** tap **Edit** *name*'**s Details** to change the athlete's name, role, the **Library** setting and the **Background Photo**. Tap **Save**.
* **Team:** tap **Edit Team Profile** to change the team name, picture, **Library** setting and **Background Photo**. Tap **Done**.

The same menu has the options to add people, **Edit Collections Containing Workspace** and **Move Workspace To An Organization**.

Open the workspace and tap the three dots at the top.

* **One-on-one:** tap **Edit** *name*'**s Details** to change the athlete's details and the **Library** setting, then tap **Update**.
* **Team:** tap **Edit Team Profile** to change the team name, picture, sport and **Library** setting, then tap **Update**.

The same menu has the options to invite and add people.

**Background photo:** a banner at the top of the workspace, such as your club's logo. Add the photos to your own profile first, then pick one for each workspace (iPhone and iPad). ## People in a workspace

Tap **+** next to **Members** (or use the three dots) to add people:

* **Athletes:** see [Invite your athletes](/coaching/organize-your-athletes/invite-your-athletes.md).
* **Parents:** **Add Parent**. Each parent gets their own invite and uses Onform for free. See [Keep parents informed](https://github.com/Onform-Inc/onform-docs/tree/main/programs/athletes-and-parents-in-your-program/keep-parents-informed.md).
* **Other coaches:** **Add External Person**, or **Add Existing Staff Member** in an organization. See [Add another coach to a workspace](/coaching/organize-your-athletes/how-to-add-a-parent-and-or-coach-to-a-workspace.md).

### Admins

Admins can change the workspace's settings, add and remove people, and delete it. On iPhone and iPad, touch and hold a person's name and tap **Make** *name* **Admin Of Workspace**. Tap **Revoke** *name* **As Admin Of Workspace** to undo it. This isn't on Android or web yet.

## Leave a workspace

**Leave This Workspace** removes you from it. You lose its videos, files and messages; everyone else keeps them.

Leaving isn't the same as signing out. To sign out, tap your profile picture on Home and tap **Logout**. If you left your coach's workspace by mistake, ask your coach to add you back.

1. Open the workspace and tap the three dots next to its name (on iPhone and iPad you can also touch and hold it on Home).
2. Tap **Leave This Workspace**, then **Yes, Leave**.

You need an internet connection to leave.

**Handing a workspace over to another coach?** If you're its only admin, you can't leave until someone else is. On iPhone or iPad, make the other coach an admin first (see [Admins](#admins)), then leave. The workspace and its videos stay with them.

## Delete a workspace

Deleting a workspace removes it for **everyone** in it, not just you. You, your athlete or team, parents and other coaches all lose its videos, files and messages. If you only want to step away, leave it instead.

You need to be an admin of the workspace.

1. Open the workspace and tap the three dots next to its name (on iPhone and iPad you can also touch and hold it on Home).
2. Tap **Delete This Workspace**, then confirm.

Deleted a workspace by mistake? Email <support@onform.com> as soon as you can, with the athlete's or team's name, and we'll see if it can be restored.

## Move a workspace to an organization (iPhone and iPad)

If you coached an athlete in your **Personal Account** and now coach in an organization, you can move their workspace, with its videos, into the organization. Touch and hold the workspace on Home (or tap its three dots) and tap **Move Workspace To An Organization**. ## Tip: a workspace as a folder

Want one place for drills, demos or model swings? Add a one-on-one workspace named for the content, such as "Drills", and tap **Add Without Sending Invite**. Only you see it until you add people.

## If something goes wrong

| What you see                                                                                       | What to do                                                                                                                                                                                        |

| **This workspace would have no admin left. Make somebody else an admin first.**                    | You're its only admin. Make someone else an admin (iPhone or iPad), then leave. Or delete it if nobody needs it.                                                                                  |
| **A collection gives you access to this workspace. Leave the collection to leave this workspace.** | Your organization gave you this workspace through a Collection. Leave that Collection, or ask your organization's admin.                                                                          |
| You don't see **Delete This Workspace** or the edit options                                        | Only admins of the workspace see them. Ask the coach who runs it, or your organization's admin.                                                                                                   |
| **Can't add a member to a sample workspace**                                                       | Sample workspaces are for exploring. Create your own with **+** on Home.                                                                                                                          |
| A workspace has disappeared                                                                        | Check the account switcher: it may be in your organization or your **Personal Account**. Also check its Collection isn't hidden: tap **Edit** on Home. Still missing? Email <support@onform.com>. |
