# Invite your athletes

Invite an athlete or a parent to a workspace with a 5-character invite code, re-send an invite, and check they're set up as an Athlete so they use Onform for free.

Works on: iPhone, iPad, Android and web.

Invite an athlete (or their parent) and they join your workspace, where you share videos, Voice-over lessons and chat. **Athletes and parents you invite use Onform for free** while they're connected to you.

## Before you start

* You need a coaching plan. See [onform.com/pricing](https://onform.com/pricing/) if you're not sure which plan you're on.
* Every invite is a **5-character code** that's **case-sensitive** and works **once**. Each person needs their own code, so an athlete and their parent each get a separate invite.
* Older 4-character codes and old invite links no longer work. If someone has one, send them a new invite.

## Invite an athlete

1. On the Home screen, tap **+**.
2. Under **For 1:1 Coaching**, tap **Add Athlete Manually** (the word matches your sport, for example **Add Golfer Manually**). For a team, tap **Add New Team** under **For Teams**.
3. Enter the athlete's first and last name, and check their role is your sport's athlete role (for example Athlete, Student or Golfer).
4. Tap **Send Invite**, then choose how to send it: Messages, email, WhatsApp or any other app.

The message includes the code and links to download Onform. Tap **Add Without Sending Invite** if you'd rather send it later.

To change the message your invites use, open Onform's **Settings** and edit **Invite Body**. Keep `[invite_code]` in it, or the person can't join.

1. On the Home screen, tap **+**.
2. Tap **Add New Athlete For 1:1 Coaching** (the word matches your sport), or **Add New Team** for a team.
3. Enter the athlete's name and sport, then tap **Add**.
4. Tap **Send Invite**. If Onform asks whether files in this workspace should be private or shared by default, choose one (see [Default private or default shared Libraries](/coaching/teach-and-share/library-visibility-and-sharing-options-default-private-or-default-shared.md)).
5. Onform shows the invite code. Tap **Share now** to send it by text, email or a messaging app, or tap the copy button.

Tap **Add Without Sending Invite** if you'd rather send it later.

Until they join, you'll see **pending join** next to their name. When they accept, it goes away and you'll see that they've accepted your invite.

## Invite a parent

Parents join by invite too, and it's free for them. Each parent needs their own code: they can't use their child's.

1. Open the athlete's workspace.
2. Tap the three dots next to the workspace name, or **+** next to **Members**.
3. Tap **Add Parent**, enter the parent's name, then tap **Send Invite**.

## What your athlete sees

Your athlete gets your message with the code. They:

1. Download Onform from the App Store or Google Play, or open the web app.
2. Sign in, then enter the code: new users tap **I Have An Invite**; people who already use Onform tap **Enter Invite Code**.
3. See your workspace on their Home screen.

They only enter the code once. After that, they just sign in, **with the same sign-in method every time** (Apple, Google, Microsoft or an email code). ## Send an invite again

If your athlete hasn't joined yet (you still see **pending join**), send the invite again:

1. In the workspace, touch and hold the athlete's name.
2. Tap **Re-invite** followed by their name.
3. Choose how to send it.

1. Open the athlete's workspace and tap the menu at the top, or the menu next to their name.
2. Tap **Re-Invite** followed by their name.
3. Share the code with your athlete.

Once someone has joined, there's no need to re-invite them. If they can't see your workspace on a new device, they need to sign in the same way they did when they accepted.

### Someone who left the workspace

A code can't be used twice, so someone who left can't rejoin with their old code. On iPhone and iPad, touch and hold their name in the workspace and tap **Add** *name* **Back To Workspace**.

## Check your athlete's role

Make sure athletes have the **Athlete** role (your sport's word for it, such as Student or Golfer) and parents have **Parent**. People with the **Coach** or **Other** role need a paid coach seat, and they may be asked to upgrade.

3. Tap **Change Role** and choose the athlete role.

3. Change **Role** to the athlete role and save.

The athlete doesn't need a new account or invite after you change their role.

## If something goes wrong

| Your athlete says the code is invalid                                     | Ask them to type it exactly as sent: it's case-sensitive, and 1 and l, 0 and O look alike. | Your athlete has a 4-character code or an old link                        | Those no longer work. Send a new invite.                                                                                                                                                                                                                                                   |
| Your athlete accepted, but can't see your workspace                       | They're probably signed in with a different account, for example Apple on one device and Google on another. Touch and hold their name (iPhone and iPad) or open the menu next to it (Android and web), tap **View Sign-In Info** to see how they joined, and ask them to sign in that way. |
| Your athlete is asked to pay                                              | Check their role is the athlete role, not Coach or Other. Also check they're looking at your workspace, not their own Personal Account.                                                                                                                                                    |
| Someone else used the code (for example a parent used the athlete's code) | Email <support@onform.com> with the athlete's name and we'll help you sort out who's connected.                                                                                                                                                                                            |
