# Notes about your athletes

Keep notes on an athlete or team in their workspace, like goals, injuries or what you worked on. Notes are private to you unless you share them.

Works on: iPhone, iPad, Android and web.

Every workspace has a **Notes** section, next to its chat and **Library**. Use it to keep track of an athlete's goals, injuries, family details or what you covered in each lesson, or a team's practice plans. Notes save as you type and sync across all your devices.

**Notes are private to you** unless you choose to share them. Athletes, parents and other coaches in the workspace can't see your private notes.

## Write a note

1. Open the athlete's or team's workspace and tap **Notes**.
2. Tap **+**.
3. Give the note a name, for example "Season goals" or "Shoulder rehab".
4. Under **Who can open this**, leave **Just me** selected to keep it private. (To share it, see below.)
5. Tap **Create**, then write your note.

Anyone in a workspace can keep notes there, so athletes and parents can use **Notes** for their own reminders too.

## Find a note

Notes are sorted into tabs at the top: **All**, **Shared** and **Private**. Use the search box to look for a word in any note.

## Share a note

If you coach under an organization, you can share a note with people in the workspace, for example a training plan for the athlete and their parents, or scouting notes for your staff.

1. When you create the note, or later from the note's menu with **Edit Details**, choose **Share with people in this workspace**.
2. For each group, **Staff**, **Athletes**, **Parents** and **Other members**, choose **Can view**, **Can edit** or **No access**.
3. Tap **Create** or **Update**.

The people you chose find it under **Shared** in their **Notes**. If they can only read it, they see **View Only**. They need an up-to-date version of Onform to see shared notes.

On a **Personal Account**, notes are always private, and **Share with others** is locked. To share notes, your account needs to be part of an organization: email <support@onform.com> and we'll help you set that up. To pass on a note in the meantime, copy the text into your chat with the athlete.

## Edit history and deleting

* To see earlier versions of a note and who changed it, open the note and tap **Edit History**.
* To delete a note, open its menu and tap **Delete**, then **Yes, delete**. You can't undo this.

## Format your notes

Notes understand a few simple marks:

| Type this                                | To get                              |
| ---------------------------------------- | ----------------------------------- |
| `# Heading`, `## Heading`, `### Heading` | A heading, from largest to smallest |
| `**bold**`                               | **bold**                            |
| `*italic*`                               | *italic*                            |

## If something goes wrong

| What you see | What to do |
| -------------------------------------- | ---------------------------------------------------------------------------------------------------------------------------------- |
| "Notes failed to load" | Check your internet connection, then reopen the note. |
| "This note is no longer available" | It was deleted, or it's no longer shared with you. |
| An athlete can't see a note you shared | Check you shared it with **Athletes** (not **No access**), and that they've updated Onform and are signed in to the right account. |
| You can't share a note | Sharing needs your account to be part of an organization. Email <support@onform.com>. |

## Querying This Documentation
If you need additional information that is not directly available in this page, you can query the documentation by asking a question.

Perform an HTTP GET request on the following URL with the `ask` and `goal` query parameters:

```
GET https://help.onform.com/coaching/teach-and-share/coach-notes.md?ask=<question>&goal=<user_goal>
```

`ask` is the immediate question: it should be specific, self-contained, and written in natural language.
`goal` is what the user is ultimately trying to achieve, the reason they need the answer. Sharing it helps GitBook give you a better, more relevant answer. A goal is most helpful when it describes the outcome the user wants rather than restating the question. For example, with `ask=how do I create an API token`, a goal like `automate deployments from our CI pipeline` lets GitBook tailor the answer to that use case.

The response will contain a direct answer to the question and relevant excerpts and sources from the documentation.

Use this mechanism when the answer is not explicitly present in the current page, you need clarification or additional context, or you want to retrieve related documentation sections.
