# Default private or default shared Libraries

Choose whether videos added to a workspace's Library stay private until you share them, or are seen by everyone in the workspace straight away, and what happens to existing videos when you switch.

Works on: iPhone, iPad, Android and web.

Every workspace's **Library** has one of two settings. It decides who sees a video as soon as someone records or imports it there.

* **Default private**: a new video is seen only by the person who added it, until they share it. You pick what each person sees.
* **Default shared**: a new video is seen by everyone in the workspace straight away, with no need to share it.

You'll see which one a workspace uses at the top of its Library: **This library is default private** or **This library is default shared**.

## What each setting means

| **One-on-one workspace**  | You record ten reps and share the two that matter. Your athlete, their parents and any other coach see only what you share with them.                          | Your athlete, their parents and any other coach in the workspace see every video as soon as it's uploaded, including videos the athlete or a parent adds. |
| **Team**                  | Each video stays with whoever added it until it's shared with a person or a group. One athlete's clip isn't seen by the whole team unless you send it to them. | Every athlete, **every parent** and all staff in the team see every video in the team's Library.                                                          |
| **People who join later** | See only what's shared with them from then on.                                                                                                                 | See everything already in the Library, as well as new videos.                                                                                             |

Either way, chat works the same: a message you send to one person stays between the two of you. This setting only affects the **Library**.

## Which one to choose

**Choose default private** for most coaching, especially:

* one-on-one lessons, where you record plenty and share the best
* teams of young athletes, where each family should only see their own child's clips
* college and pro programs that keep film tight

**Choose default shared** when everyone in the workspace should see everything, for example:

* several coaches, therapists or trainers working with the same athlete, such as an academy or a physio clinic, so nobody has to share each clip with each colleague
* a team that reviews all its footage together
* a staff-only workspace you use as a shared library of drills or reference clips (see [Share reference clips with your other coaches](#share-reference-clips-with-your-other-coaches))

## Choose the setting for a new workspace

When you add an athlete or a team, Onform starts with the setting you picked last time. Check it before you finish:

* **Athlete:** after you send the invite (or tap **Add Without Sending Invite**), the **Select Options** screen shows **Files Are Default Private** or **Files Are Default Shared** under **Library**. Tap **Edit** to switch, then tap **Done**.
* **Team:** on the new team screen, find **Files Are Default Private** or **Files Are Default Shared**, tap **Edit** to switch, and finish adding the team.

* **Athlete:** the new workspace uses the setting you picked last time. To change it, follow [Change the setting later](#change-the-setting-later).
* **Team:** on the new team screen, use the **Files Are Default Private** / **Files Are Default Shared** switch, and finish adding the team.

## Change the setting later

You need to be an admin of the workspace, such as the coach who created it. Everyone else can see the setting but not change it. You also need an internet connection.

1. Open the workspace and go to its **Library**.
2. At the top, tap the underlined **default private** (or **default shared**) in **This library is default private**.
3. Read what will happen, then tap **Switch to default shared** or **Switch to default private**.

You can also change it from the workspace's details: touch and hold the athlete's name and tap **Edit** *name*'**s Details** (iPhone and iPad), or open the menu next to their name and tap **Edit** *name*'**s details** (Android and web). For a team, tap the three dots and **Edit Team Profile**.

## What happens to videos already in the Library

Switching changes the videos that are already there, not just new ones.

* **Private to shared:** the videos already in this Library become visible to everyone in the workspace, including clips you'd kept to yourself. Check the Library before you switch.
* **Shared to private:** every video in this Library goes back to being seen only by the person who added it. **This includes videos you had shared with someone one by one.** Afterwards, share again anything people still need. Videos in your other workspaces aren't affected.

## All Files and Reference Content are always private

**All Files** (every video across your workspaces) and **Reference Content** are folders Onform makes for you, and they're private to you. You can't set them to default shared. To send a video from one of them, touch and hold it (iPhone and iPad) or tap its three dots (Android and web) and share it.

### Share reference clips with your other coaches

To give your staff one place for drills, model swings or technique clips:

1. Make a new team, for example "Reference library", and set it to **Files Are Default Shared**.
2. Add your coaches to it. See [Add another coach to a workspace](/coaching/organize-your-athletes/how-to-add-a-parent-and-or-coach-to-a-workspace.md).
3. Copy the clips you want into it. Every coach in it sees them, including coaches you add later.

## If something goes wrong

| What you see                                                                        | What to do                                                                                                                                                                                       |
| ----------------------------------------------------------------------------------- | ------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------ |
| Tapping **default private** or **default shared** only shows an explanation         | Only admins of the workspace can change it. Ask the coach who runs the workspace, or your organization's admin.                                                                                  |
| A message that you need an internet connection                                      | Connect to Wi-Fi or mobile data and try again.                                                                                                                                                   |
| The whole team or other parents can see one athlete's clips                         | The team is probably default shared. Switch it to default private, then share each clip with the right people.                                                                                   |
| Your athlete can't see a video in a default shared workspace                        | Check it has finished uploading. If it still doesn't show, switch the Library to default private and back to default shared: this shares every video in it with everyone in the workspace again. |
| Videos you'd shared disappeared for your athlete after switching to default private | That's expected: switching to private unshares everything. Share them again, or switch back to default shared.                                                                                   |
| An athlete left and rejoined, and can't see older videos                            | In a default shared workspace, switch to default private and back. Otherwise, share the videos with them again.                                                                                  |
