# Quick start: run a program

For program directors and facility owners: get your organization ready, invite coaches into seats, give them their athletes and send your first lesson in week one.

Works on: iPhone, iPad, Android and web. A few admin tools are on iPhone and iPad only, as noted below.

This is for directors of instruction, program directors and facility owners who pay for Onform for their coaches. By the end of your first week, you'll have at least two coaches invited and your program's first Voice-over lesson sent to an athlete.

## 1. Check your organization is ready

Your organization is your program's home in Onform. Your coaches, athletes, teams and Collections live there, and your plan pays for each coach's seat.

1. Sign in with the account that holds your program's plan.
2. On the Home screen, tap the account switcher. It shows **Personal Account** or your organization's name: at the bottom of Home on iPhone and iPad, and at the top on Android and web.
3. Choose your organization. As its admin, you'll see a section headed **Administer** and your organization's name.

**No organization yet?** If you bought seats for several coaches, email <support@onform.com> from the email you sign in with, tell us your organization's name, and we'll help you set it up.

To add your logo (iPhone and iPad), open the account switcher, tap **Edit Organization Profile** (or **Manage Organization**, then **Organization Profile**), tap **Update Logo**, then **Save**.

## 2. Invite your coaches

Each coach needs a coaching seat, which your organization pays for. Athletes and parents don't need one. For plans, see [onform.com/pricing](https://onform.com/pricing/).

1. Open the account switcher and tap **Manage Staff**. If you see **Manage Organization** instead, tap it, then tap **Staff**.
2. Tap **Add Staff**.
3. Choose their role: a coach, an assistant coach, or a custom role such as analyst. Enter their first and last name. Turn on **Admin Of Organization** if they'll help you run the program.
4. Tap **Next**, choose the Collections of athletes they'll work with (see step 3 below), then tap **Next**.
5. Send them the invite code by text, email or any other app.

1. Tap your organization's name at the top of Home, then tap **Manage Staff**. If you see **Manage Organization** instead, tap it, then tap **Staff**.
2. Tap **+ ADD STAFF**.
3. Choose their role (**Coach**, **Assistant Coach** or **Other**) and enter their first and last name. Turn on **Admin Of Organization** if they'll help you run the program.
4. Tap **Next**, choose the Collections they'll work with, and share the invite code.

Every invite is a 5-character code that's case-sensitive and works once. Your coach enters it in Onform and confirms they're joining your organization. When they join, they get a coaching seat. Send them [Quick start: coach in your program](/start-here/staff-coach.md) along with the code.

* **Not joined yet?** They show as **pending join** (iPhone and iPad) or under **Pending invites** (Android and web). Tap their name, then **Share Invite** or **Show code** to send the code again.
* **No seat?** Tap the coach's name, then **Assign Coaching Seat**. **Remove Coaching Seat** frees one up.
* **Out of seats?** The app tells you no seats are available. Email <support@onform.com> to add more.

## 3. Give your coaches their athletes

Coaches work with the athletes they share a workspace with. The quickest way to connect a coach to a group of athletes is a shared collection, such as "Juniors", "Varsity pitchers" or "Thursday clinic".

1. On Home, tap **Edit**, then **Create New Collection** (**Add New Collection** on Android and web), name it and choose the athletes and teams in it.
2. Share it with the coaches who teach that group. On iPhone and iPad, the **Manage Access** screen opens after you save: tap **Add Staff**. On Android and web, open the collection's **Edit Collection** screen and tap **Share With Staff Members**.

To add a coach to one athlete instead, open the athlete's workspace and choose **Add Existing Staff Member**. Coaches can also invite their own athletes: see [Invite your athletes](https://github.com/Onform-Inc/onform-docs/tree/main/coaching/organize-your-athletes/invite-your-athletes.md).

If you have **Manage Organization**, its **Access Control** screen sets whether staff can work with **All athletes and teams** or **Only granted athletes and teams**. ## 4. Send your first lesson and check in

Ask one coach to send a Voice-over lesson in their next session. [Quick start: coach in your program](/start-here/staff-coach.md) walks them through it in a few minutes. To see who's up and running:

* **Manage Staff** shows who has joined and who holds a coaching seat. Tap a coach to see the workspaces they're in.
* **Recent Activity** on Home shows joins, messages and watched videos in the workspaces you're part of.
